Office management assistant (m/f/d) – Focus: International administration & assistance

TIRE IM/EX is a dynamic, internationally active company in the used tyre trade, based right in the heart of the German-French border region. In close partnership with our French sister company Pneus Gern, we take care of the entire tyre value chain – from professional recycling and processing to resale and international distribution. To strengthen our team, we are currently seeking a committed and versatile individual who would like to take on the following tasks on a full-time basis (40 hours per week):

Your responsibilities

Office Management & Organization

  • Independent management of daily office operations at two locations (20% in Germany & 80% in France)
  • Welcoming and assisting visitors
  • Customer communication via email and phone (German and English, optionally French)
  • Coordination of appointments, meetings, and business trips
  • Route planning: planning and optimizing delivery and pickup routes for our logistics partners
  • Maintaining and updating customer and supplier databases
  • Digitizing and optimizing existing processes and systems

 

Commercial Administration

  • Auditing and issuing invoices
  • Auditing and issuing delivery notes
  • Communication with authorities, especially customs authorities in the German-French border area
  • Optional task: preparatory bookkeeping, including posting business transactions

 

Support for Management

  • Direct assistance to management with various administrative tasks
  • Preparing presentations and reports
  • Participation in strategic projects and continuous process optimization

 

Human Resources

  • First point of contact for personnel-related matters of the workforce
  • Supporting personnel administration (e.g., vacation planning, time tracking)
  • Assisting in organizing team events and internal training

Your profile

  • Completed commercial training or a comparable qualification (e.g., as Office Manager)
  • First professional experience in a similar position, ideally in an international environment
  • Excellent German skills in written and spoken form, as well as solid English skills; French skills are optional
  • Proficient user of the MS Office suite
  • Optional: Experience in accounting and bookkeeping
  • High service orientation, initiative, and a structured, organized working style
  • Enjoys diverse tasks and is willing to take on responsibility
  • Driver’s license (Class B)
